The Opportunity:

The Equity Roadmap Administrative Clerk reports directly to the Equity Roadmap President and Cabinet for performing a variety of clerical and secretarial functions required for the smooth and effective operation of the non-profit organization.

Responsibilities Include but are not limited to:

Organization Operations:

Answers main Organization phone line and voicemail, directing calls and requests to appropriate parties as well as all in-person requests/questions

Assists in answering emails directed toward ERM email address

Coordinates organization event calendar and organizational duties.

Responds to emails sent to general ERM email addresses.

Develops and maintains office procedures and routines

Program Management

Purchases supplies as directed by ERM President and Cabinet

Ensures accurate inventory is maintained for ERM equipment and items

Tracks junior staff attendance and volunteer attendance for payment purposes.

Maintains system for tracking purchase orders

Student Registration & Community Outreach

Keep up to date Email listserv and communicate with community partners

Assists in the process of registering students for programs

Parent/Family Communication

Communicate with parents and families about programs and events as needed.

Administration Support

Assists both ERM President and Cabinet with ongoing and as-needed tasks and assistance

Performs other duties as assigned

Your Skill Set:

Experience in an office environment involving public contact; previous experience with youth work or youth work facing non-profit organizations. Knowledge of standard clerical procedures and office operations, English grammar, punctuation, and spelling; business formatting of documents; basic research techniques; standard software applications; budget and accounting principles; standard types of office filing systems; proper telephone etiquette. Ability to maintain complex databases and management information systems; learn new software applications; communicate effectively in oral and written form; proofread material and make necessary corrections; utilize time management techniques to organize and prioritize work; read, interpret, and apply rules, laws, and procedures; work independently; maintain confidentiality of student and program information; work cooperatively and effectively with students, parents/guardians, community partners, and the general public.

Education:

High school diploma, or GED

Preferred but not Required – Multilingual Skillset
